SOP Components

Component Purpose
Purpose Why this process exists
Scope When to use (and not use) this SOP
Steps Numbered, sequential actions
Decision Points If/then branching logic
Exceptions How to handle edge cases
Quality Checks Verification at key milestones
Troubleshooting Common problems and fixes
Owner & Review Who maintains this, review cadence

Tips

  • Capture from the expert: Interview the person who does it best, not the manager
  • Include the WHY: "Verify before sending (because errors cost ~$500 each to fix)"
  • Test with a newcomer: Have someone unfamiliar try to follow the SOP
  • Living document: Schedule quarterly reviews to catch process drift

Commands

"Create an SOP for [process name]"
"Add decision trees for the exception handling"
"Generate a training checklist from this SOP"
"Create a quick-reference card (1-page summary)"

Troubleshooting

SOP is too detailed / too general Calibrate: "Written for someone with 3 months of experience in this role"

Doesn't cover edge cases Ask: "What are the top 5 things that go wrong? Add exception handling for each"

Process keeps changing Add: "Include a change log section with version dates and what changed"
